Reporting to: Director, Logistics & PMO
About the Role
Intellitix is looking for a detail-oriented, hands-on Warehouse Coordinator to keep the equipment that powers live events organized, event-ready, and moving smoothly through the warehouse. This role is primarily responsible for the day-to-day care, control, preparation, return, and basic repair of the equipment.
Working closely with Operations and Project Management, you will make sure equipment is accurately picked, tested, packed, received, and returned to service. You will maintain clear inventory records, follow established handling standards, and raise issues early when equipment availability or condition could affect an event.
This is an on-site, full-time position in Chatham, Ontario for someone who enjoys practical warehouse work, cares about accuracy, and thrives in a fast-paced, event-driven environment.
What You’ll Own
- Own the daily warehouse workflow for equipment, ensuring items are received, stored, prepared, dispatched, returned, and put back into service accurately and efficiently.
- Prepare equipment for events by picking, testing, cleaning, labeling, packing, and completing pull sheets and manifests in line with Intellitix standards.
- Maintain reliable inventory records in Flex and related systems, with close attention to serialized equipment, accessories, event allocations, shortages, and damaged or end-of-life assets.
- Conduct regular inventory counts and reconciliations, investigate discrepancies, and flag replenishment or equipment-readiness risks early.
- Inspect returned equipment, clean and recondition devices, perform basic troubleshooting and repairs, and escalate complex technical or warranty issues as needed.
- Maintain a safe, clean, and well-organized warehouse/office, including efficient storage layouts and proper handling of sensitive electronic equipment.
- Support loading and unloading activities using pallet jacks or forklifts while following safe working practices and equipment-handling procedures.
- Assist the Operations team with shipment preparation and limited logistics administration as required, including packing, labeling, documentation, courier handoffs, and tracking updates.
- Help improve warehouse workflows, equipment presentation, packing methods, inventory accuracy, and documentation by identifying recurring issues and proposing practical solutions.
- Partner with Event Operations and Office Management to balance daily warehouse priorities and support property or office needs when required.
- General day-to-day maintenance of office cleanliness including garbage disposal, lawn maintenance, snow removal, parking lot maintenance
What We’re Looking For
- A dependable warehouse operator who takes ownership of details, follows through on commitments, and communicates clearly when priorities or risks change.
- Someone who can translate event requirements into organized pull sheets, accurate equipment preparation, and dependable warehouse execution without losing sight of deadlines.
- A practical problem-solver who can troubleshoot equipment issues, make sound decisions within established procedures, and escalate promptly when additional expertise is needed.
- A process-minded teammate who values accuracy, clean workspaces, consistent handling standards, and continuous improvement.
- A calm, flexible contributor who can work independently or with a team during peak event periods, including occasional extended hours or weekends when event schedules require it.
Qualifications
The ideal candidate will bring:
- Two or more years of experience in warehouse operations, inventory control, equipment handling, or a comparable hands-on operational role.
- Experience working with serialized inventory, technical equipment, or rental assets; familiarity with electronics or application troubleshooting is an asset.
- Comfort using operational software and collaboration tools such as Flex, ClickUp, Slack, and Google Sheets.
- Strong organization, attention to detail, and the ability to manage multiple time-sensitive priorities using established systems and processes.
- The ability to perform the physical requirements of warehouse work, including lifting and moving cases and standing for extended periods.
- Forklift certification or experience is an asset; training can be provided.
- Experience with couriers, freight brokers, or shipping documentation is an asset
Success in This Role
In your first 3–6 months, you will:
- Establish a reliable rhythm for equipment preparation, returns, cleaning, repair, and inventory reconciliation that supports event schedules.
- Improve visibility into equipment availability, condition, and allocation so potential shortages and risks are identified early.
- Consistently deliver event-ready equipment with accurate preparation, careful handling, and minimal avoidable warehouse errors.
- Help create a cleaner, safer, more efficient warehouse environment with storage and workflow practices the team can rely on.
- Provide dependable, limited support to logistics processes while keeping warehouse operations as your primary focus.
- Build strong working relationships across Operations, Event Project Management, Product, and Engineering.
